Onsite Pro dashboard - job management and timesheets

Why UK builders use Onsite Pro

Running a builder business is mostly paperwork chasing. Job sheets in the van. Photos on engineers’ phones. Hours scribbled on the back of a quote. Then an evening re-keying it all so you can invoice on Friday.

Onsite Pro replaces that with a digital job sheet app your builders use on-site. Photos, time logged, customer signature, parts used – all attached to the job in real time. The office sees every update live. Invoices go out the moment work signs off, not days later. If cash flow is the worry, the maths in spend hundreds, save thousands is worth five minutes.

Built since 2012, from Lichfield, by people who actually understand UK trade business. Same founder, same UK team, since day one. We also run job management for electricians and carpenters – useful if your firm covers construction work where you sub-contract electrical, plumbing and joinery. Job Management Made Simple.

The bit I didn't expect to love is the photo trail. Every site I run now has hundreds of photos timestamped and on the right job. Saved us in two snagging disputes already.

Onsite Pro on a working site: from enquiry to handover

  1. Site visit or client enquiry. Client wants an extension, renovation, kitchen install, or new build. Log the lead in 30 seconds with address, scope, and budget bracket.
  2. Survey and costed quote. Take site measurements and photos, then build a quote with labour, materials, and subcontractor allowances. E-sign on the spot. Coming soon: stage-payment quotes broken into milestones.
  3. Site team and subs dispatched. Foreman drag-and-drops the week's work across building team members and sub-contractors. Each gets their day on their phone.

  5. Variations and extras tracked separately. Mid-build client requests get logged as extra line items on the same job, with photos and notes – no scope-creep arguments later. Coming soon: variations as a separate, tracked feature.
  6. Stage-payment invoicing. Invoice on job completion, or split staged work across multiple jobs that share the same site. Final invoice closes off the work once the client signs handover. Coming soon: stage-payment milestone billing from a single quote.

Sole builders, growing teams, multi-site building firms

Sole-trader builders

Look as professional as the bigger firms. One admin licence, one engineer licence, branded quotes, signed-off job sheets and invoices that go out before you leave the customer’s driveway.

Growing teams (2 to 5 builders)

Builders see their diaries on their phones. Stop chasing job sheets every Friday night. Customers get faster quotes, faster work, faster invoices. Office gets a real picture of who’s where.

Building & construction firms (5 to 50)

Real-time GPS, skill-based scheduling, parts and stock across multiple vans, reporting that shows which builders are profitable and which jobs are over budget.

Common questions

Can my site teams use the app without signal?
Yes. Site teams can complete job sheets, take photos, capture signatures and log time fully offline. Everything syncs the moment they hit a signal.
Does it handle CDM or H&S documentation?
You can attach risk assessments, method statements, CSCS records and any PDF or photo to a job. Onsite Pro keeps them linked to the site for audit.
How does it work for a building firm?
Office staff log in to the dashboard (£75/admin/month) and site teams use the iOS or Android app (£20/site user/month). Jobs get pushed to whoever is closest.
Will it integrate with my accounts software?
CSV exports for QuickBooks, Xero, Sage or Zoho today. Direct integrations are on the roadmap.
How long is the free trial?
14 days. Full system, not a demo. No card required. Cancel anytime.
Is there a free job management app for builders I can try?
Yes – Onsite Pro offers a free 14-day trial of the full live system. Not a demo, the actual product with every feature unlocked. No credit card required.
Can I customise the digital job sheet template?
Yes. The digital job sheet is fully customisable – add your branded header, your terms, your custom fields, parts lists. Most builders stick close to the default because it covers most jobs out of the box.
Does it work across multiple sites running in parallel?
Yes. Each job is its own site record with its own engineers, materials, time logs and photos. The office sees all live sites at once in one dashboard view.
How does Onsite Pro handle quotes and invoices for builder work?
Quotes get built in seconds from the dashboard or the mobile app, with parts and labour pre-priced. Once accepted, they convert to a scheduled job in one tap. After work signs off, the job sheet becomes an invoice with the right hours, parts and customer details already filled in.
Is my customer and job data secure?
Each customer gets a dedicated UK-hosted database. HTTPS everywhere, daily off-site backups, no shared multi-tenant tables. Your data stays in UK jurisdiction.
Where is the Onsite Pro team based?
Lichfield, Staffordshire. Onsite Pro (originally launched as iManage App) has been based in Lichfield since 2012. Phone support is answered in the UK, not an outsourced call centre.
Can I see a demo before signing up?
Yes – book a 30-minute one-to-one demo with founder John Bryan. Tuesday to Friday between 11am and 3pm UK time. Book a demo.
Can subcontractors log their hours via the app?
Yes – give each sub a dedicated engineer login and they log their hours against your jobs the same way your direct staff do. Their time appears in your job costing and your stage-payment invoicing.
Does it handle stage-payment billing for big projects?
Today: split staged work across multiple linked jobs that share the same site – each invoices independently as it completes. Coming soon: one quote broken into named stages, each invoicing on sign-off, and variations tracked separately from the main quote.
Can I track materials delivered to site versus materials used?
Yes – materials log against the job from the stock module. Use notes and photos to record what's been delivered to site vs what's been used. Coming soon: explicit job-level stock-on-site tracking.
