Onsite Pro dashboard - job management and timesheets

Why UK decorators use Onsite Pro

Running a decorator business is mostly paperwork chasing. Job sheets in the van. Photos on engineers’ phones. Hours scribbled on the back of a quote. Then an evening re-keying it all so you can invoice on Friday.

Onsite Pro replaces that with a mobile job sheet app your decorators use on-site. Photos, time logged, customer signature, parts used – all attached to the job in real time. The office sees every update live. Invoices go out the moment work signs off, not days later. We’ve done the honest sums on what sticking with paper costs a decorating firm.

Built since 2012, from Lichfield, by people who actually understand UK trade business. Same founder, same UK team, since day one. We also run job management for building firms and installation contractors – useful if your firm covers painting, finishing and snagging stages of bigger projects. Job Management Made Simple.

Quoting by room makes so much more sense than the way we used to do it. Customers can see exactly what they're paying for and they sign off on the phone before we even pack up. We get paid the same week.

How decorators move jobs from quote to sign-off

  1. Customer enquiry: repaint, wallpapering or commercial finish. Office logs the call with address, room count, finish type and urgency.
  2. Site visit and room-by-room quote. Measure rooms or surfaces, list paints and wallpapers and labour as line items (group by room in the descriptions), e-sign on the spot.
  3. Dispatch by skill. Interior, exterior, specialist (spray finishes, wallpaper hanging) – assign by capability and availability.
  4. On-site, room schedule in the app. Decorator opens the job, sees the room list, products chosen, colour codes and finish notes.
  5. Hours, paint litres, photos per room, sign-off. Materials logged against the job, photos labelled by room in the notes, customer signs once the whole job is done.
  6. Invoice with room-by-room breakdown. Line-item descriptions show what was done where. Helps the chase-up call never happen.

Sole decorators, growing teams, commercial decorating contractors

Sole-trader decorators

Look as professional as the bigger firms. One admin licence, one engineer licence, branded quotes, signed-off job sheets and invoices that go out before you leave the customer’s driveway.

Growing teams (2 to 5 decorators)

Decorators see their diaries on their phones. Stop chasing job sheets every Friday night. Customers get faster quotes, faster work, faster invoices. Office gets a real picture of who’s where.

Painting & decorating contractors (5 to 50)

Real-time GPS, skill-based scheduling, parts and stock across multiple vans, reporting that shows which decorators are profitable and which jobs are over budget.

Common questions

Can my decorators use the app without signal?
Yes. Full offline mode for job sheets, photos, signatures and time tracking. Syncs the moment they hit a signal.
Can I quote per room?
Yes. Build quotes line-by-line for kitchens, bedrooms, halls, exterior. Customers see clear pricing.
How does it work for a decorating firm?
Office staff log in to the dashboard (£75/admin/month) and decorators use the iOS or Android app (£20/engineer/month). Manage multiple sites at once.
Will it integrate with my accounts software?
CSV exports for QuickBooks, Xero, Sage or Zoho today. Direct integrations are on the roadmap.
How long is the free trial?
14 days. Full system, not a demo. No card required. Cancel anytime.
Is there a free job management app for decorators I can try?
Yes – Onsite Pro offers a free 14-day trial of the full live system. Not a demo, the actual product with every feature unlocked. No credit card required.
Can I customise the digital job sheet template?
Yes. The digital job sheet is fully customisable – add your branded header, your terms, your custom fields, parts lists. Most decorators stick close to the default because it covers most jobs out of the box.
Does it handle multi-room jobs with different finishes?
Yes. A job can have multiple rooms or zones, each with its own finish, materials, hours and photos. Customer signs off the whole job at the end with everything itemised.
How does Onsite Pro handle quotes and invoices for decorator work?
Quotes get built in seconds from the dashboard or the mobile app, with parts and labour pre-priced. Once accepted, they convert to a scheduled job in one tap. After work signs off, the job sheet becomes an invoice with the right hours, parts and customer details already filled in.
Is my customer and job data secure?
Each customer gets a dedicated UK-hosted database. HTTPS everywhere, daily off-site backups, no shared multi-tenant tables. Your data stays in UK jurisdiction.
Where is the Onsite Pro team based?
Lichfield, Staffordshire. Onsite Pro (originally launched as iManage App) has been based in Lichfield since 2012. Phone support is answered in the UK, not an outsourced call centre.
Can I see a demo before signing up?
Yes – book a 30-minute one-to-one demo with founder John Bryan. Tuesday to Friday between 11am and 3pm UK time. Book a demo.
Can I log litres of paint used per room?
Yes – log materials at the line-item level. Litres, brand, finish, colour code as line item descriptions or notes. Stored against the job for future maintenance or warranty work.
Does it handle large commercial finish-out projects?
Yes – one job can run across weeks with multiple decorators. Use line items or notes to track room-by-room progress. Customer signs off at the end, or split into multiple linked jobs if you bill in stages. Coming soon: explicit room/zone hierarchy within a single job.
Can I add room-by-room photo galleries to a job?
Yes. Decorators attach photos to the job and label which room each is from in the notes. End of job, the customer signs off with the full set of evidence attached.
